Minutes of tenth board meeting of 1997 Board of Directors
October 15th 1997

The meeting was convened at the office of Steve Archer at 7:06 P.M.. R.E. Gary Pitts, B.O.D. members Tom McCarthy, Sal Versaggi, Steve Archer, Clint deWitt and Kevin Jenkins were present. Mr. David Vodden (Region Business Consultant) was also present.

The minutes of the last meeting were approved by circulated copy.

The following minutes are not presented necessarily in order of occurrence.

Kevin gave the Treasurer's report as follows: We still look like we're going to financially break even for the year. We are currently about 30 k positive for the year but we do have approximately 3 months left with relatively little income expected.

A discussion of book keeping procedures used by the past '96 BOD and the apparent anomolies (Approximately $78,000 in capital contributions as of Sept. '96 that were erroneously reported as income to the club when in fact it was actually the Thunderhill track surcharge contributions) that existed which resulted in an overstatement in last years income. Said error will probably require an amended tax form showing the adjusted income for '96.

David then gave us his report and recommended that we need to review A) The awards banquet expenditures. B) Review costs of services ordered for the events. C) Talk to Glenn Hills about Vintage monetary credits. Dave then let us know that with the loss of vouchers for our events, we probably lost several thousand for the year in comparison to earlier years. The Liaison reports started with Clint: Owen had to Black flag (for sound) several competitors on Saturday at the Vintage event but by Sunday everybody got their act together and there were no problems. Clint's legal office has researched the liabilities of having an annual registration pass as was being considered by National. They saw no problems. In fact it looked quite favorable. Everyone else was just fine.

Steve discussed plans for the upcoming Auto Show at Moscone Hall. We are going to need people to work the booth and we will probably have space for 7 or 8 cars to display.

Gary mentioned that John Huges was resigning from membership and we will need to find someone to replace him.

Tom reviwed what the possible 5 year plan for Thunderhill was. They included more permanent bathrooms, showers, trees, etc. Sal was not able to contact Bill and Patty Dwyer but everyone else was just fine.

There was no other Liaison reports.

Topics for discussion were as follows:

Sal wanted a report on the profits and purse payouts for the '97 PCRRC. They were as follows: $72,635.00= income---- $63,357.00= expense----- $9,278.00= net positive. Title right sponsorship money received from Union Race Gas was $8,000.00 of which approx. $4,600.00 will or has been paid out. Remainder goes to the region. The gate, ride around, auction and raffle proceeds amounted to approximately $4,200.00 which will be used for the purchase of a new 8'x20' Wells Cargo equipment trailer that Dave had found. Motion to buy said trailer (Versaggi/ McCarthy) Approved unanomously.

Dave reminded us again that we needed a van for T&S along with a 1 ton truck for emergency.

Gary then went through awards for the upcoming Awards Banquet in November.
