SFR SCCA Board of Directors Minutes
Called to order at 6:32 pm by Mike Smith Present Mike Smith, Morris Hamm, Bryan Nemy, Peter Nosler, Ed Railton, Dave Allen, Sherry Grantz, Absent Blake Tatum Five Minute Updates • Thunderhill Report – Mike Smith Thunderhill is operating pretty much at budget with no issues. The staff is exploring alternative fuel sources including wind and solar. • Region Administrator’s Report – Sherry Grantz Sherry asked about billings to Steve Earle for costs associated with the Monterey Historics including the additional day of service provided. The Board approved an amount to be billed. Sherry has been working on the classified ad system for the website with Just Racing and Chico Design. The ads should be available next week on the Region website and on the Solo site as well with the members posting their own ads for two weeks with renewals. • Secretary’s Report – Morris Hamm The minutes of the July 21, 2007 meeting were reviewed and corrected. Motion by Peter Nosler, seconded by Ed Railton, passed unanimously. • Recruiting Report – John Speer through Sherry Grantz Sherry presented John’s report of his recruiting efforts in the new format that provided an easier to comprehend report. John also reported on the names and numbers of the volunteers that have worked in the past events. • Treasurer’s Report – Ed Railton, Sherry Grantz The July financial report was presented to the board. Overall, the region is operating within a few thousand dollars of budget. The Infineon Double is going to be well over budget based on current entries. The events have been operating close to budgeted amounts so far. The San Jose Grand Prix was well ahead of budget. Motion by Bryan Nemy, seconded by Dave Allen to approve the report. Passed unanimously. Updates • San Jose Grand Prix – Mike Smith The logistics of the event are amazing and the response of the members to the challenge was gratifying. A lot of people went far beyond the actual requirements for the weekend to make the event a success. • Feature Class Program – Dave Allen/Ed Railton The Spec Miata race is over-subscribed. There will be a Spec Miata party on Friday evening after the group photo session. The Formula Ford race at the end of September looks to have over 40 entrants. Peter has about $3,000 in contingencies and prizes and will also raffle off some prizes. • 2008 Event Schedule Mike reviewed the schedule for 2008. The draft schedule included too long a gap at the end of the season. Ed Railton proposed that the Spec Miata Challenge run in connection with the vintage events instead of the Enduro to avoid reducing Enduro entries. None of the Infineon dates have been discussed with them and the schedule is subject to extensive revision. • Solo Site Search The search is at the end of the budget and the budget will be slightly exceeded because of extra work requested from the intern. Eight good sites have been located and the names of the contacts have been determined. Additional work is being done on locating the owner of one tract. Peter will be devoting more time to contacting the owners about possible site usage.
• Board and RE Petitions – Mike Smith Petitions have been submitted by Ed Railton and Morris Hamm. Petitions are pending from Mike Smith and Blake Tatum. Deadline is September 4 for submission of petitions. No additional petitions have been received or discussed. • Infineon Double Regional – Mike Smith Entries have been closed on several of the groups - 1, 2 5 and 7. Group 7 is well over-subscribed and the excess of SMTs will be offered the opportunity to race in Group 1 or 5. The Region will request that SSM’s be moved as a group to Group 1 and that the SSM’s be dual-entered in the second race of Group 7 for the purpose of qualifying for the feature race only. Mike asked the Board to assist Dave Allen and Dave Draper in making the paddock work. • Jack Chisum Recognition Mike suggested that it would be appropriate to have a toast to Jack at the Infineon social. Mike also proposed that the Board begin a procedure of buying a brick paver in the Laguna Steps to the Corkscrew each year dedicated to the members how have passed away in the prior twelve months whom the Board deems to have significantly contributed to the success of the region. • ITE/ITA Festival Race – Dave Allen • SM Compliance – National – Morris The compliance fee being proposed for SM has been described as not applying to region only classes such as SSM and SMT. • E85 Fuel Issue for Enduro – Dave Allen The proposed use of E85 fuel by an entrant has been reviewed. The fuel can only be used when provided for in the Supps. Pit Fire has agreed to the use of the fuel because of the gasoline content that will allow the flames to be visible. Dave Allen needs to review with the E Crew before final acceptance. • Volunteer Awards – Sherry Sherry presented a schedule of the previous award winners to the Board to begin consideration for the upcoming banquet. Board Meetings September 20 for the next meeting. Board Liaison Reports – All Peter Nosler – The Wheel is going well and the compensation for publishing is current. The Wheel should function to help direct focus to the website for quick notice events. Peter proposed that Colleen Worthington be put in charge of ordering trophies including helping in the choice of trophies. Ed Railton suggested that the Board look at the catalogues and offer suggestions for trophies. Morris Hamm – The Equipment Crew is working well and the plans for the truck bed are in progress. The Hall of Fame is quiet now and will resume in a couple of months. The nominating petitions for the Worker of the Year Award were circulated for comment among the Board and additional feedback. Worker Trans was discussed and it was suggested that Rick Chelone’s absence necessitated a change at Laguna Seca. Bryan Nemy – Sherry Grantz will be instructing the Solo group about Joomla and how to use it for their website. The regular season and the Slush Season will begin on October 20. Solo Trials have been described in SportsCar which allow speeds to 95 mph but with safety restrictions on ambulances and fire equipment. Ed Railton – Social had requested a room at Thunderhill but the cost was too much to consider for the track. Mike Smith – Timing and Scoring is working well. Sherry Grantz has been doing results and doing them extremely well. • Correspondence-All The Family Stress Center sent a Thank You note about the donation of Two Family Day at the Races Packages for the Ellen’s Guild. • Executive Session-All Adjournment at 10:36 pm, motion by Peter Nosler, seconded by Dave Allen.
